1 Introduction & Acceptance

Welcome to Billexa. By accessing Billexa through website, Telegram Bot, or any medium, you agree to these Terms. Billexa offers billing, inventory, marketplace, Telegram bot, KYC verification, seller dashboard, analytics, admin bot, expense tracking, profile management, and support ticket services.

2 Account Registration & Security

  • Minimum age: 18 years. By registering, you confirm that you are at least 18 years old and legally capable of entering into a binding contract under Indian law. Provide accurate info.
  • Responsible for credential confidentiality.
  • Never share password, OTP, or Bot Token.
  • KYC required for Verified Seller status (Section 19).

3 User Responsibilities & Invoice Authenticity

Users must comply with all applicable laws while using the Platform. You are fully responsible for all activities under your account.

3.1 General Responsibilities

  • Use the Platform only for lawful business purposes.
  • Keep your account information accurate and up to date.
  • Respect other users and their data.
  • Report bugs, vulnerabilities, or suspicious activity immediately.
  • Do not interfere with or disrupt the Platform's operation.

3.2 โœ๏ธ Invoice Signature System

Billexa provides an optional Signature feature on invoices generated through OUT Mode. Users may choose to upload a photo signature or draw a digital signature. By using this feature, you agree that:

โ€ข Do NOT create fake or forged invoices to scam anyone.
โ€ข Do NOT misuse signatures to create false financial records.
โ€ข Any fraudulent use of invoices or signatures is your sole liability.
โ€ข Billexa is NOT responsible for any misuse of invoices or signatures.
โ€ข Creating fake invoices is a criminal offense under Indian law. Billexa will file a police complaint and cooperate fully with law enforcement authorities for any fraudulent activity involving invoices or signatures.

You will be solely liable for any legal consequences arising from the misuse of invoices or signatures. Billexa will cooperate with law enforcement authorities in case of any investigation.

4 Prohibited Activities

Strictly prohibited: illegal/harmful content, impersonation, fraud, malware, unauthorized access, scraping, reverse engineering, IP violation, fake KYC, token sharing, fake orders/reviews, selling prohibited items, creating fake or forged invoices, uploading fake expense receipts, providing false profile information.

๐Ÿšจ Invoice Fraud Warning: Creating fake invoices with or without signatures for the purpose of scamming, tax evasion, or any illegal activity is a criminal offense. Violators will be permanently banned and reported to law enforcement.

5 Intellectual Property Rights

Billexa name, logo, code, design = our IP. User content = user's property. PDF reports contain Billexa branding - don't remove. Bot commands structure is proprietary. Report infringement to admin@covexa.in.

6 Payment Terms (Free Service)

๐Ÿ†“ 100% Free: All features free. No credit card, listing fees, commission, subscription, or KYC fees. COD payments between buyer & seller. Future paid features with notice.

7 Privacy & Data Protection

Full Policy: /privacy. GDPR & IT Act 2000 compliant. KYC docs on Cloudinary, admin only. Deleted on account closure.

8 Third-Party Services

โ–ผ
  • Telegram API (bot), MongoDB Atlas (database), Cloudinary (files/KYC/expense bills/profile photos).
  • MEGA (mega.nz) โ€“ Encrypted cloud backup storage for database dumps. Backups automatically deleted after 90 days.
  • Not responsible for third-party uptime/policies.

9 Limitation of Liability

โš ๏ธ "AS IS" - No warranties.

To the maximum extent permitted by law:

  • Billexa shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or business opportunity.
  • For Free Plan users, Billexa's total liability shall not exceed โ‚น0 (Zero Rupees).
  • For Paid Plan users, Billexa's total liability shall not exceed the total fees paid by the user in the preceding 12 months, capped at a maximum of โ‚น5,000 (Rupees Five Thousand Only).
  • This limitation applies regardless of the legal theory on which the claim is based, even if Billexa has been advised of the possibility of such damages.
  • Nothing in this agreement excludes or limits liability for death, personal injury, or fraud.

Not liable for: damages, data loss, buyer-seller disputes, delivery issues, bot downtime, KYC rejections, analytics inaccuracies, token leaks, unauthorized access, invoice or signature misuse, expense data inaccuracies, tax liability, financial decisions based on expense reports, profile data inaccuracies, GST information errors.

10 Indemnification

You indemnify Billexa for claims from: Terms violation, Platform use, uploaded content (incl. KYC, expense receipts, profile photos), IP violation, marketplace transactions, invoice fraud or signature misuse, false expense records, false profile or GST information.

11 Termination & Suspension

โ–ผ

Grounds: violation, fraud, fake KYC, bot abuse, marketplace fraud, invoice fraud, fake expense receipts, false profile information, 12+ months inactivity. Effects: access ceases, orders cancelled, bot disconnected, KYC deleted in 30 days, expense data and profile data permanently deleted. Users can delete account anytime.

12 Dispute Resolution

1. Informal: Contact admin@covexa.in. 2. Marketplace disputes: Between parties directly. 3. Arbitration: Arbitration Act 1996, Venue: Ajmer, Rajasthan.

13 Governing Law (India)

Governed by Indian law. Exclusive jurisdiction: Courts at Ajmer, Rajasthan.

14 Changes to Terms

We may modify these Terms at any time. For material changes (such as pricing, liability limits, or data usage), we will notify users through the following channels:

  • Dashboard Announcement โ€“ A prominent notice will appear on your Billexa dashboard when you log in.
  • Telegram Bot Alert โ€“ If your Telegram bot is connected, you will receive a notification message.
  • /updates Page โ€“ A dedicated page listing all past and upcoming changes is available at /updates. You are encouraged to check this page periodically.

Continued use of Billexa after the effective date of any material change constitutes acceptance of the modified Terms. If you do not agree with the changes, you must stop using the platform and may delete your account.

15B ๐Ÿ”’ Service Suspension & Account Management Rights

15B.1 Right to Suspend Service

Billexa reserves the right to temporarily or permanently suspend the platform or any part thereof in the following circumstances:

  • ๐Ÿ”’ Security Threats: Detection of security vulnerabilities, attacks, or breaches
  • โš–๏ธ Legal Compliance: Court orders, government directives, or legal obligations
  • ๐Ÿšจ Abuse: Platform abuse, fraud, or violation of Terms by users
  • ๐Ÿ’พ Data Protection: To prevent data loss or corruption
  • ๐ŸŒ Force Majeure: Natural disasters, war, or events beyond our control
๐Ÿ“ข Notice: Billexa will make reasonable efforts to notify users before scheduled maintenance via the Updates page or Telegram alerts. Emergency suspensions may occur without prior notice.

15B.2 Account Data Management Rights

To ensure platform integrity and security, Billexa reserves the right to:

  • โœ๏ธ Edit Account Data: Modify, correct, or update account information if found to be inaccurate, misleading, or violating Terms
  • ๐Ÿ”„ Activate/Deactivate: Enable or disable account access based on Terms compliance
  • ๐Ÿ›ก๏ธ Security Actions: Reset passwords, revoke sessions, or disable 2FA in case of security incidents

15B.3 Direct Contact Rights

Billexa reserves the right to contact users through the following channels for legitimate purposes:

  • ๐Ÿ“ฑ Phone Call / SMS: Urgent security matters, account verification, suspicious activity alerts, legal matters
  • ๐Ÿ“ž Unsolicited Support Calls: Billexa may call you without prior request to help with platform-related issues, provide onboarding assistance, offer feature guidance, or resolve technical problems you may be experiencing
  • ๐Ÿ’ฌ Feedback & Suggestions: We may reach out to gather feedback about your experience, suggest improvements, or inform you about new features relevant to your usage
  • ๐Ÿค– Telegram Bot: Automated alerts and notifications (if connected)
  • ๐Ÿ“ข In-Platform Notifications: Dashboard announcements, popup notices
๐Ÿ” Privacy Assurance: Billexa will NEVER ask for your password, OTP, 2FA codes, or full credit/debit card details via phone, email, or message. Any such request is fraudulent and should be reported immediately.

15B.4 Circumstances for Direct Contact

Billexa may contact you directly in these situations:

  • ๐Ÿ›ก๏ธ KYC Verification: Additional document verification needed
  • ๐Ÿ“‹ Order Disputes: Unresolved marketplace transaction issues

15B.5 Data Modification Transparency

  • ๐Ÿ“ All administrative modifications to user accounts are logged with timestamp and admin identity
  • ๐Ÿ“ง Users will be notified via email of significant account changes (within 48 hours)
  • ๐Ÿ” Users can request an account activity log by contacting support
  • โš–๏ธ Users retain the right to appeal any administrative action via support ticket

15B.6 Limitation of Liability for Service Interruption

While Billexa strives for maximum uptime, we shall not be liable for:

  • ๐Ÿ’ผ Loss of business, revenue, or profits during service suspension
  • ๐Ÿ“Š Data inaccessibility during maintenance windows
  • ๐Ÿค Missed marketplace transactions during downtime
  • ๐Ÿ“‰ Any indirect or consequential damages from service interruption

Billexa's total liability for service interruption shall not exceed โ‚น0 (Zero Rupees) for Free Plan users.

15B.7 User Rights During Suspension

16 ๐Ÿค– Telegram Bot Terms

16.1 Bot Creation & Ownership YOU OWN

  • Create bot via @BotFather. Your bot = your property.
  • Fully responsible for Bot Token security. Never share it.
  • Disconnect anytime from dashboard or via /disconnect.

16.2 Token Security CRITICAL

  • Treat token like password. Compromised? Revoke immediately.
  • We encrypt tokens. Not liable for leaks on your end.
  • Sharing token = sharing account access (prohibited).

16.3 Acceptable Use

  • For your own Billexa account only. No spamming/phishing.
  • No sharing bot access. Abuse = disconnection + suspension.
  • Comply with Telegram API Terms.

16.4 Data & Commands

  • Commands access only your data. PDFs for your use only.
  • Alerts based on your account. Bot data deleted on disconnect.

16.5 Limitations

  • Not liable for: Telegram downtime, missed alerts, connectivity issues, command failures.
  • Rate limit: 30 msg/sec (Telegram).

17 ๐Ÿ›’ Marketplace Terms

17.1 Seller Eligibility

  • Must have a registered Billexa account.
  • KYC verification required for ๐ŸŸข Verified badge (optional but recommended).
  • Must be 18+ years of age with legal capacity in India.
  • One seller account per person/business entity.

17.2 Listing Rules

  • Accurate title, description, price, and category required.
  • All prices in INR (Indian Rupees) only.
  • Quantity: Must mention available quantity clearly in description (e.g., "Qty: 5", "10 pieces", "10x available").
  • Unit Definition: 1 unit = 1 piece/item. Price displayed is per unit.
  • If quantity not mentioned, default is considered as 1 unit.
  • Only images allowed โ€” videos not supported for product listings.
  • Maximum 10 images per product, each max 10MB.
  • Seller must accept Terms & Conditions and Privacy Policy checkbox before each listing.
  • Location field optional but recommended for buyer convenience.

17.3 Prohibited Items BANNED

  • Illegal drugs, narcotics, controlled substances.
  • Weapons, firearms, ammunition, explosives.
  • Counterfeit goods, stolen items, pirated materials.
  • Human organs, body parts, endangered species.
  • Adult content, sexually explicit materials.
  • Gambling items, lottery tickets.
  • Anything illegal under Indian law.
  • Violation = immediate listing removal + account ban.

17.4 Seller Verification & Signature

  • Verified sellers (๐ŸŸข badge) = KYC completed + Signature displayed.
  • Unverified sellers (๐ŸŸ  badge) = Buyer discretion advised, no signature shown.
  • KYC signature appears on: Product detail pages, Order invoices, QR code pages.
  • Verification builds buyer trust and improves product ranking.
  • Trust Score (0-100) calculated based on KYC, products, sales, and delivery performance.

17.5 Quantity & Stock Management

  • Seller must mention available quantity in product description.
  • Example formats: "Qty: 5", "Quantity: 10 pieces", "10x available", "Stock: 50 units".
  • If quantity not mentioned, default = 1 unit.
  • System automatically changes status to "Sold Out" when quantity reaches 0. Seller can reactivate product anytime from My Products page. Auto Restock feature available to auto-restore quantity on delivery.
  • Change product status to "Sold" or "Sold Out" when stock finished.
  • Buyer can select quantity while placing order (1 to available stock).
  • Overselling (accepting orders beyond stock) = Penalty.

17.5.1 โค๏ธ Wishlist Feature

  • Buyers can save products to their personal Wishlist for later purchase.
  • Wishlist is private โ€” only the user can view their own wishlisted items.
  • Click the โค๏ธ heart icon on any product card to add/remove from Wishlist.
  • Access Wishlist from the navbar or at /wishlist.
  • Wishlist page shows: Product image, title, price, stock, quantity selector.
  • Buyers can adjust quantity, remove items, or place orders directly from Wishlist.
  • Place All Orders button allows ordering all wishlist items at once.
  • Wishlist items persist until removed or purchased.
  • No limit on number of wishlisted items.

17.6 Pricing & Payment

  • Price displayed is per unit price in INR.
  • Unit = 1 piece/item. Example: โ‚น100/unit, buyer orders 5 units = โ‚น500 total.
  • Total amount = Price per unit ร— Quantity ordered.
  • Currently Cash on Delivery (COD) only โ€” buyer pays at delivery.
  • Online payment (UPI/Card/Net Banking) coming soon.
  • 0% Commission โ€” seller keeps 100% of sale amount.
  • No hidden charges, no listing fees, no transaction fees.

17.7 Order Processing & Status Updates

  • Order status flow: Pending โ†’ Confirmed โ†’ Packed โ†’ Shipped โ†’ Out for Delivery โ†’ Delivered.
  • Seller must update status within reasonable time.
  • Buyer gets automatic notification on status changes.
  • Status history timestamped and visible to both parties.
  • Invoice (PDF) auto-generated on delivery.
  • Both buyer and seller can track order via Order ID.

17.8 Seller Responsibilities & Anti-Fraud Policy IMPORTANT

  • Seller responsible for product accuracy, quality, and description truthfulness.
  • Use only own/authorized product images (stored on Cloudinary).
  • Ship orders on time and update status accurately.
  • Cancel orders only before shipping with valid reason.
  • Refunds and returns handled between buyer and seller directly.
  • Fake reviews, false listings, or fraud = account suspension.
  • Impersonating another seller = permanent ban.
  • Manipulating reviews or ratings = penalty.

17.9 Cancellation & Delivery Penalty STRICT

  • Multiple Cancellations: 3+ cancellations in 30 days = KYC review. 5+ = KYC revoked. 7+ = Account banned.
  • Non-Delivery: Orders marked "Delivered" but not actually delivered = PERMANENT BAN.
  • Fake Delivery Updates: False status updates = immediate KYC removal + possible ban.
  • Buyer Complaints: Multiple complaints about non-delivery = KYC review and revocation.
  • Fraud Detection: Any fraudulent activity = immediate KYC cancellation + document lock + permanent ban.
  • Seller can appeal with valid proof (buyer request, address issue, etc.).

17.10 โญ Reviews & Ratings System

  • Buyer can review product after order is Delivered.
  • Rating: 1-5 stars. Review text: Max 200 words.
  • Images: Up to 2 images per review, max 5MB each.
  • One review per product per buyer โ€” duplicate reviews not allowed.
  • Only verified buyers (who purchased) can review โ€” no fake reviews.
  • Seller cannot review their own products.
  • Reviews are public and visible to all marketplace users.
  • Review images stored on Cloudinary, deleted on review deletion.
  • Buyer can delete their own review anytime from My Reviews page.
  • Average rating calculated from all reviews, displayed on product cards.
  • Products sortable by "Top Rated" and "Most Reviewed".
  • Fake or manipulated reviews = review removal + account penalty.

17.11 ๐Ÿ’ฌ Chat & Communication

  • Buyer can chat with seller before/after ordering via real-time messaging.
  • Voice and Video calls available via WebRTC (peer-to-peer, not recorded).
  • Chat includes: Text, Images, Audio, Payment proof uploads.
  • Chat messages stored for 90 days, then auto-deleted.
  • Payment proof images help verify COD transactions.
  • Abusive or spam messages = chat restriction + account review.
  • No sharing of personal contact details in chat (phone, email, address).

17.12 ๐Ÿ”— QR Code & Product Sharing

  • Each product has a unique QR code for easy sharing.
  • QR page (`/p/PRODUCT-ID`) is public โ€” shows product details, images, reviews.
  • Scanning QR code opens product page with order form.
  • Ordering via QR requires login for buyer protection.
  • QR code includes Billexa logo in center for brand authenticity.

17.13 ๐Ÿ” Search & Discovery

  • Products searchable by: Title, Description, Product ID, Seller name, Location, Category.
  • Sort options: Newest, Oldest, Price (Low-High/High-Low), Most Viewed, Top Rated, Most Reviewed, Most Ordered.
  • Category filter available for focused browsing.
  • Search results limited to 50 products for performance.
  • Verified sellers get better visibility in search results.

17.13.1 ๐Ÿช Seller's Product Store

  • Each seller has a dedicated product page at /marketplace/seller-products?sellerId=USER_ID.
  • Page displays: Seller avatar, name, KYC verification status, Trust Score.
  • Shows all active products from that seller with search, sort, and status filters.
  • Buyers can browse a seller's complete catalog from one place.
  • Access via "View All Products" button on any product detail modal.
  • Helps buyers discover more products from trusted sellers.
  • Pagination enabled for sellers with many products.

17.14 Buyer Information & Rights

  • Buyer can view seller verification badge before purchasing.
  • Check seller Trust Score (0-100) for reliability assessment.
  • View product reviews and ratings from other buyers.
  • Chat/call seller for product inquiry before ordering.
  • Report suspicious listings or fraud via support ticket.
  • Buyer information (name, mobile, address) shared with seller for delivery only.
  • Buyer email never shared with seller.
  • Track order status in real-time without login via Order ID.

17.15 ๐Ÿ“‹ Buyer Order Fields NEW

  • Required Fields: Full Name, Mobile Number, Delivery Address.
  • Optional Fields: Alternate Mobile, Landmark, Pincode, Email.
  • ๐Ÿ“ฑ Alternate Mobile: Backup contact number if primary is unreachable during delivery.
  • ๐Ÿ  Landmark: Nearby landmark (e.g., Near Temple, Behind Mall) for easy delivery location identification.
  • ๐Ÿ“Œ Pincode: Area pincode for delivery verification and location accuracy.
  • ๐Ÿ“ง Email: For order confirmation and invoice delivery (never shared with seller).
  • All buyer information is used solely for order fulfillment and delivery purposes.
  • Buyer data is never shared with third parties for marketing.
  • Providing optional fields helps seller deliver faster and more accurately.

17.15A ๐Ÿ”„ Return & Refund Policy UPDATED

  • Seller's Choice: Return policy is optional per product. Seller enables/disables via toggle during listing.
  • Return Window: 3, 5, 7 (default), 10, or 15 days from delivery date.
  • Badges: โœ… X-Day Return on returnable products. ๐Ÿšซ No Return on non-returnable products.
  • ๐Ÿ“ธ Return Proof Images:
    • Buyer can upload up to 3 images as proof (damage, defect, wrong item).
    • Accepted formats: JPG, PNG, WebP. Max 5MB each.
    • Images visible to seller for verification.
    • Images auto-deleted from server on Refund Complete or Return Rejected.
  • ๐Ÿ“ฆ Pickup Address:
    • Buyer must provide pickup address during return request.
    • Address visible to seller after request submission.
    • Seller uses this address for item pickup/collection.
  • ๐Ÿ“… Expected Dates:
    • Seller provides Expected Pickup Date and Expected Refund Date on acceptance.
    • Buyer can see expected timeline in return status.
    • Helps set clear expectations for both parties.
  • โณ Return Timeline:
    • Step 1: ๐Ÿ“ Requested โ†’ Step 2: โณ Review (24-48 hrs) โ†’ Step 3: ๐Ÿ“ฆ Pickup (1-3 days) โ†’ Step 4: ๐Ÿ’ฐ Refund (3-5 days).
    • Progress bar shows current stage visually.
    • Color-coded badges: Pending (Orange), Accepted (Blue), Refunded (Green), Rejected (Red).
  • Buyer Request: Buyer can request return within window via Order Detail page with reason + bank details + pickup address + proof images.
  • Bank Details: Account Holder, Account Number, IFSC, Bank Name required for refund. Last used details auto-filled.
  • Seller Actions:
    • โœ… Accept Return: Seller provides expected dates, acknowledges request. Buyer notified with timeline.
    • ๐Ÿ“ฆ Received (UTR): Seller confirms item received + enters UTR for refund. Images auto-deleted.
    • โŒ Reject: Seller rejects with reason. Order returns to Delivered. Images auto-deleted.
  • UTR Mandatory: UTR/Transaction ID required when marking item as received for refund tracking.
  • Return status visible on Order Detail, My Orders (with filter), and Track Order pages.
  • Refund processed directly between buyer and seller. Billexa not liable for disputes.
  • Seller can change return policy anytime. Changes apply to new orders only.
  • Misuse of return system = Account penalty.

17.16 Commission & Fees

  • 0% Commission โ€” no listing fees, no selling fees, no hidden charges.
  • 100% free for both buyers and sellers.
  • This may change in future with minimum 30 days prior notice.
  • Any future fees will be communicated via email and platform notification.

17.17 Data & Privacy

  • Product images stored on Cloudinary secure servers.
  • Chat messages auto-deleted after 90 days.
  • Voice/Video calls not recorded or stored.
  • Buyer personal data used only for order fulfillment.
  • Complete privacy policy: Privacy Policy.
  • Account deletion removes all marketplace data permanently.

17.18 Terms Acceptance

  • By listing a product, seller agrees to all Marketplace Terms including cancellation penalties and review policies.
  • By placing an order, buyer agrees to Marketplace Terms and payment obligations.
  • By submitting a review, user agrees to public display of review content.
  • Continued use of marketplace = acceptance of updated terms.
  • Terms may be updated with notice. Major changes notified via email.
  • Violation may result in: Warning โ†’ KYC revocation โ†’ Account suspension โ†’ Permanent ban.

17.19 ๐Ÿ“ž Phone Number & ๐Ÿ“Œ Pincode Policy

  • Phone Number (Optional): Seller can add a contact number per product listing.
  • Phone number is hidden by default โ€” buyer must click "Show Contact Number" to reveal.
  • Phone number only visible for KYC verified sellers on verified products.
  • Seller can choose different phone numbers for different products.
  • Buyer clicks revealed number to call directly (tap-to-call on mobile).
  • Seller is responsible for the phone number provided โ€” Billexa not liable for misuse.
  • Leave phone field empty to hide contact option completely.
  • Pincode (Optional): Seller can add area pincode for each product.
  • Pincode helps buyers search products by location using pincode filter.
  • Pincode visible on product detail page and QR page.
  • Exact address not required โ€” pincode provides general location reference.
  • Seller can update or remove phone/pincode anytime via Edit Product.
  • Misuse of phone feature (fake numbers, harassment) = Account penalty.

20.2.1 Admin Access to User Data (Restricted)

  • Only authorized Billexa administrators with a legitimate business need (such as KYC verification or support ticket resolution) may access user data.
  • KYC documents (Aadhar, PAN, Signature, Selfie) can be viewed only by specifically designated KYC verification admins (maximum 2 persons).
  • All admin access to user data is logged and auditable with timestamp and admin identity.
  • Admins are strictly prohibited from viewing user data out of curiosity or for personal reasons. Violation will result in immediate termination and legal action.
  • Billexa does not sell, rent, or share user data with any third party for marketing purposes.

20.3 Accountability

  • All admin actions are logged and auditable.
  • Users will be notified of significant account actions (ban, deletion).
  • Admin decisions are final but reviewable on appeal.

  • Ban appeals: Contact support with relevant information.

22.1 Services Provided

Expense Tracking: Billexa provides an Expense Tracker tool that allows you to record, categorize, and manage your business expenses including shop rent, electricity bills, staff salaries, internet charges, transport costs, raw materials, marketing expenses, and maintenance costs. You can upload bill or receipt images for each expense and download expense reports in PDF format.

22.2 User Responsibilities

Expense Accuracy: You are solely responsible for the accuracy of expense data you enter. Billexa does not verify expense amounts, categories, or descriptions. Ensure you enter correct information for accurate financial reports.

Receipt Authenticity: Any bill or receipt images you upload must be genuine and related to actual business expenses. Uploading fake, fraudulent, or misleading receipts is strictly prohibited.

Data Backup: While we maintain regular backups, we recommend exporting your expense data periodically as PDF reports for your own records.

22.3 Service Limitations

Financial Decisions: Billexa provides expense tracking as a tool for record-keeping and reporting. We are not responsible for any financial decisions made based on the data displayed. Please consult a qualified accountant for tax and compliance matters.

Tax Liability: Billexa does not calculate or file taxes on your behalf. The expense data you record is for your reference only. You are responsible for tax filing and compliance as per applicable laws.

22.4 Content Guidelines

Prohibited Content: You must not upload any bill or receipt images that contain illegal, offensive, or inappropriate content. Billexa reserves the right to remove such content and suspend accounts violating this policy.

22.5 Data Deletion

When you delete an expense record, the data and any associated bill image are permanently removed from our servers. Deleted expenses cannot be recovered. We recommend downloading a PDF report before deleting important records.

22.6 Service Availability

Billexa strives to provide uninterrupted access to your expense data. However, we are not liable for any temporary service interruptions or data loss due to technical issues beyond our control.

23 ๐Ÿ‘ค Profile & Account Terms

23.1 Account Information Accuracy

You agree to provide accurate and truthful information when updating your profile. Your full name must be your real name. Providing false or misleading information may result in account suspension or termination.

23.2 Profile Photo Policy

Profile photos must be appropriate and not contain nudity, violence, hate speech, or copyrighted material. We reserve the right to remove any profile photo that violates these terms. Uploaded photos must be in JPG, PNG, or WebP format and under 5MB in size.

23.3 Email & Mobile Number

Your registered email address and mobile number are permanent and cannot be changed after registration. These are used for account verification, security alerts, and important communications. You are responsible for maintaining access to your registered email and mobile number.

23.4 Business Information

If you provide business details (business name, GST number, address), you confirm that this information is accurate and belongs to you. Providing false GST information is illegal and may result in legal action. Billexa is not responsible for incorrect GST details on your invoices.

23.5 Business Logo

You may upload a Business Logo from your Profile page under the Business Information section. This logo appears on:

  • ๐Ÿ›’ Marketplace Store - Your seller profile and product pages

Logo Guidelines:

  • If no logo uploaded, default Billexa branding appears on invoices

You can upload, change, or remove your business logo anytime from Profile โ†’ Business Information. Uploaded logos are stored securely on Cloudinary.

23.6 Account Security & 2FA

You are responsible for maintaining the confidentiality of your account credentials. Any activity under your account is your responsibility. You can change your password anytime from the Profile page. Two-Factor Authentication (2FA) is available for all users from /setup-2fa. We strongly recommend enabling 2FA for enhanced account security. Billexa is not responsible for unauthorized access due to weak passwords or disabled 2FA.

23.7 Account Deletion

You may permanently delete your account from /delete-account. Your identity is verified through your active session. You must enter your password to confirm deletion. If 2FA is enabled, a valid 2FA code or backup code is required. Upon deletion, all your data including personal information, KYC documents, products, invoices, expenses, chat messages, marketplace listings, orders, and uploaded files will be permanently removed and cannot be recovered. Billexa is not responsible for data loss after account deletion.

23.8 Profile Updates

You can update your profile information (name, date of birth, gender, business details, business logo) anytime from the Profile page. Business logo changes reflect immediately on new invoices. Previously generated invoices retain the logo that was active at the time of generation. Billexa reserves the right to verify profile information if suspicious activity is detected.

Your uploaded signature will be displayed on your product detail pages and order invoices to verify authenticity. This helps buyers identify genuine verified sellers.

You must provide your 12-digit Aadhar number and 10-character PAN number. These are verified for uniqueness. One Aadhar/PAN can only be associated with one verified account.

24.5 Verification Process

If banned by mistake, contact support@billexa.in with proof. Admin reviews within 7 days. If unbanned, documents are unlocked and account restored.

25.5 Admin Accountability

All ban/unban actions are logged. Banned users see the reason on login. Admin decisions are reviewable.

  • Users should verify critical business decisions independently
  • AI is designed to assist, not replace human judgment
  • Responses may occasionally be incomplete

27.3 Data Usage & Privacy

  • Queries processed through OpenRouter API securely
  • Query data is NOT stored by AI providers for training
  • Billexa logs query counts for rate limiting only
  • No personal/business data from your account is sent to AI providers

27.4 Rate Limits DAILY

Just like sellers have Trust Scores, buyers also get a Trust Score (0-100) based on their order history, completion rate, cancellation rate, and spending patterns. This helps sellers evaluate buyer reliability.
